International Students Ball
Effective Date: February 8th, 2026
By participating in this event and purchasing tickets, you agree to the following Terms and Conditions. Please read them carefully.
Article 1. Applicability
1.1. These Terms and Conditions apply to access and participation in the International Students Ball organised by an organising team consisting of members of Erasmus Student Network Brno United sections. Further only referred to as “Organisers”.
1.2. ESN Brno United includes members of the Boards and other authorized members of Erasmus Student Network VUT Brno, z. s.; Erasmus Student Network MUNI Brno, z. s.; ESN MENDELU Brno, z. s..
1.3. Organisations Erasmus Student Network VUT Brno, z. s.; Erasmus Student Network MUNI Brno, z. s.; and ESN MENDELU Brno, z. s. further only “respective sections”.
1.4. A "Participant" is anyone who participates in, attends or is present at the International Students Ball organized by the Organisers.
Article 2. Event Registration, Access, and Ticket Purchase
2.1. Registration Process
You can register for the event physically at our offices. The address of each office can be found at the respective website, depending on which University you are attending. Registration/ticket purchase may require providing an email address for organisational communication.
2.2. Payment
The tickets may be purchased at the offices of the respective sections or in some cases online via shop.esnvutbrno.cz, if available for the given ticket type. The available payment methods may vary depending on the place of purchase. The Participant acknowledges and accepts that:
a) at ESN VUT Brno payment is possible by cash or payment card;
b) at ESN MUNI Brno and ESN MENDELU Brno offices payment is possible by cash only.
A ticket purchase (or reservation, where applicable) is considered confirmed only after successful payment, unless explicitly stated otherwise by the Organisers in writing.
2.3. Refund Policy
Refunds are handled by the section from which the Participant purchased the ticket (further only referred to as “Selling Section”):
Refunds will be accepted no later than 5 days before the scheduled start of the Event. Requests submitted after this deadline will not be accepted, unless the Selling Section agrees otherwise in writing.
Tickets bought at a section’s office must be refunded with that same section and primarily at that section’s office during its Opening Hours or unless agreed otherwise.
Tickets purchased online via shop.esnvutbrno.cz are refunded by ESN VUT Brno. Tickets purchased online will be refunded only back to the original card with which payment was made as per the legal requirements of the payment card institutions. Cash payments will be refunded only in cash.
The refund amount may depend on whether related services have already been booked or paid. The Selling Section reserves the right to determine the refundable amount in a reasonable manner based on these costs.
Requests made after the 5 day deadline are not eligible for a refund, unless mandatory law provides otherwise or the Selling Section agrees individually.
This refund deadline does not affect refunds in case of Event cancellation or material changes under Article 4.
2.4. Access to Events
Event access is limited by the venue’s capacity. The Organisers reserve the right to close registration once the maximum number of participants is reached.
Participants must present a valid ticket upon request by Organisers or event security.
Article 3. Participation Obligations
3.1. Participants are prohibited from bringing glass, cans, fireworks, weapons, dangerous items, drugs, and/or alcoholic drinks to an event unless explicitly stated otherwise by Organisers.
3.2. Participants must comply with directions and regulations issued by Organisers, venue staff, security personnel, fire personnel, or other competent authorities during the event.
3.3. Organisers may refuse entry to, or require a Participant to leave the event, if the Participant:
seriously or repeatedly breaches these Terms or organiser instructions,
endangers the safety of themselves or others,
is visibly intoxicated, as reasonably assessed by the Organisers,
harasses, threatens, or uses violence against others,
damages property, or
otherwise materially disrupts the course of the event.
The Participant must leave the venue immediately upon request.
3.4. If a Participant refuses to comply with a request to leave, Organisers may request assistance from venue security and/or the Police of the Czech Republic.
3.5. Participants must consent to a body search by security guards if requested.
3.6. Participants must obey smoking bans during events.
3.7. Participants must provide personal identification if requested by authorized persons, including verification of age for alcohol consumption in accordance with Czech law.
3.8. Promotional or commercial activities at events are not permitted without explicit consent from Organisers, except for activities on participants' personal social media.
Article 4. Event Changes, Cancellations
4.1. Event Changes: Organisers reserve the right to change event details, including date, time, and location. Participants will be notified as soon as possible via the official communication channels.
4.2. Event Cancellations: If an event is cancelled due to circumstances beyond our control (including but not limited to supplier issues, strikes, fires, extreme weather, or governmental instructions), Organisers reserve the right to reschedule or cancel the event.
Article 5. Liability and Damage
5.1 Liability of Organisers
Organisers are liable for damage caused to a participant only in cases where the damage was caused by a breach of a legal obligation by the Organisers, and only to the extent required by applicable Czech law.
Organisers are not liable for damage caused by circumstances beyond their reasonable control, including force majeure, nor for damage caused by the participant’s own conduct or by third parties, unless such damage was caused by a breach of duty by the Organisers.
Nothing in these Terms excludes or limits liability for damage caused intentionally or by gross negligence, or liability for personal injury or death, where such liability cannot be excluded under Czech law.
5.2. Participants are fully liable for any damage they cause to other participants, Organisers, event staff, event venues, or third-party property, including equipment and facilities used during the event.
Participants are obliged to compensate Organisers for any claims, costs, or damages incurred as a result of damage caused by the participant’s conduct, unless such damage was caused by a breach of duty by the Organisers.
5.3. Participation in the event is voluntary and participants acknowledge that participation may involve ordinary and foreseeable risks associated with the nature of the event.
Organisers are not liable for:
loss, theft, or damage to personal belongings of participants,
damage resulting from the participant’s failure to follow instructions, rules, or safety measures,
damage caused by the conduct of other participants,
damage resulting from force majeure or other unforeseeable circumstances beyond the Organisers’ control.
This provision does not affect the Organisers’ statutory duty of care and does not exclude liability for damage caused by a breach of legal obligations, nor liability that cannot be excluded under Czech law.
Article 6. Intellectual Property and Copyrights
6.1. Organisers are permitted to take photos and/or videos of events for promotional purposes. By attending, participants give the Organisers and respective sections permission to record and publish such materials.
6.2. Photographs and videos taken during events are copyrighted works of their respective authors. By participating as an event photographer, they grant the organising sections a licence to use these materials for promotional and reporting purposes, including adding an ESN AISBL-approved watermark.
6.3 If a Participant wishes to request the removal of a photo or video in which they are clearly identifiable, they may contact the Organisers at ellen.rudolfova@esnvutbrno.cz. The Organisers will assess and handle the request without undue delay.
6.4 The Participant is not permitted to alter, remove, or misuse official Event photos/videos (e.g., removing watermarks or presenting them in a misleading way) without the Organisers’ prior written consent.
Article 7. GDPR
7.1. Organisers process participants’ personal data solely for the purposes of event organization, communication, and payment processing on the legal basis of performance of a contract, compliance with legal obligations, legitimate interests of the Organisers, and, where applicable, the participant’s consent, in accordance with Regulation (EU) 2016/679 (GDPR).
7.2. Personal data are not shared with third parties except payment providers used for online ticket sales (where applicable) and data processors acting on the Organisers’ instructions, strictly necessary for organising the Event, and only to the extent required.
7.3. Participants have the right to request access to, correction or deletion of their personal data, restriction of processing, to object to processing, and, where applicable, the right to data portability, in accordance with the GDPR.

Participants also have the right to lodge a complaint with the Czech supervisory authority, the Office for Personal Data Protection (Úřad pro ochranu osobních údajů).
Article 8. Final Provisions
8.1. All disputes between Organisers and participants arising from or related to this event will be settled according to the legislation of the Czech Republic.
8.2. These Terms and Conditions are issued by the Organisers in cooperation with the respective sections.
